Event & Conference Management (ECM) plans and manages MassMutual’s conferences, incentive programs, training meetings and events. ECM ensures that these programs align with our business partners’ objectives, as well as strategic meetings management principles and corporate guidelines. The department is in need of an advanced-level Event & Conference Manager.
The Event & Conference Manager will have skills and competencies to conceptualize, plan and execute all phases of company events and conferences of a more complex and visible nature. This individual will negotiate with vendors and properties.
The Event & Conference Manager will work closely with client contacts to understand and meet program objectives and requirements by delivering the desired customer/attendee experience, incorporating strategic meetings management practices. In addition, this individual will maintain accurate project plans and records and will be responsible for developing cost-effective program budgets.
The ideal candidate will have experience in event and conference management, preferably in a corporate environment. They will be customer-focused and will thrive in a fast-paced environment.
Consult with clients to identify purpose/parameters of the meeting/event, as well as the desired attendee experience and other outcomes
Plan and execute meetings/events with the ability to manage several meetings simultaneously in varying phases of the planning process
Utilize the Cvent tool for all aspects of planning, including attendee management, budgets and reporting
Develop and maintain accurate project plans for each meeting/event
Develop cost-effective program budgets
Design and develop registration websites and provide input for mobile apps
Determine meeting/event logistics and update as necessary as requirements change
Provide critical reporting
Partner and negotiate with third party vendors to ensure maximum cost savings
Ensure that all applicable stakeholders (Corporate Travel, Executive Travel, Security, etc.) have up-to-date information
Execute meetings/events on-site (as applicable)
Provide post-program follow-up, including review and reconciliation of invoices
Assist with and/or administer departmental tasks to include: meeting calendar, department emails, reporting and analysis of data, etc.
Identify and implement continuous improvement opportunities
Maintain industry expertise to incorporate new and/or more effective practices as appropriate
Bachelor’s degree or equivalent experience required
5 years of related meeting/event planning experience
Excellent verbal and written communication skills
Must be able to work both independently and as part of a team
Self-motivated and composed under pressure; able to effectively deliver in a fast-paced environment
Strong interpersonal and relationship building skills
Ability to travel 35-40 % of the time, domestically and internationally
Authorized to work in the United States without sponsorship now or in the future
Ability to manage multiple projects and work assignments simultaneously
Proficient knowledge of Cvent
Familiarity with technology for mobile apps for meetings and events
