POSITION SUMMARY

MassMutual Institutional Solutions is looking for a highly motivated and experienced Executive Assistant. This position will provide administrative support and program/project related support to Two Vice Presidents and other managers, which include the staff within their departments. Assists in coordinating many facets of the planning, reporting, communicating and follow up items. Maintains calendar activity for management team and coordinate travel arrangements. Handles incoming telephone calls and responds to information requests. Coordinates meetings and conferences with both internal and external sources. Collects information from files or other sources for routine inquiries and reports; may analyze data and prepare regularly scheduled reports of data. Generates own correspondence; uses advanced versions of Word, PowerPoint, Excel and other software. Provide backup support to other administrative support professionals.

RESPONSIBILITIES

  • Calendar management: accept/decline, knows priority of meeting requests and makes decisions on behalf of leaders

  • Budget Liaison (reports provided to budget coordinate which contains information on invoice/vendor management for teams)

  • Schedules meetings to include locating conference rooms, catering orders, ensure rooms are ready for meetings needs

  • Answers telephone(s) and take/relay messages as appropriate

  • Schedules travel arrangements and submits expense reports reporting requirements; review and approval of manager reports submitted

  • Plans and schedules more complex events (coordinate attendees, offsite venue and external participant coordination, arrange equipment and catering needs as needed)

  • Prepares meeting agendas and takes minutes at meetings to circulates action items for follow-up

  • Composes and maintains reports and documents with little input required

  • Provides program/project-related support including: maintain project and resource plans; assist in coordinating project activity and maintaining action logs; assist in the development and distribution of status reporting information (including monthly reporting, project dashboards and integrated plans) and designing / maintaining various communications for project support

  • Proactively identifies communication needs across the business

  • Drafts correspondence on behalf of leader and/or department with little/some input

  • Responds to inquiries (both written and verbal) as needed

  • Prepares and submits invoices/expenses, reconcile and manage department purchase card

  • Orders supplies and company items needed by remote employees

  • Submits service requests for equipment/system issues; submitting MAC requests as needed

  • Participates in ad hoc projects

  • Creates presentations, spreadsheets, and templates with limited assistance.

  • Provides back up to Executive Liaison and training to other administrative support professionals as needed.

BASIC QUALIFICATIONS

  • Build and maintain systems and processes in place

  • Proficient working knowledge of both Ariba and Concur system applications

  • Knowledge of Lean Management (Huddle Boards, Operational Metrics, etc.)

  • Knowledge of Financial Services Industry

  • Attention to detail

  • Relationship building

  • Ability to leverage technology - PowerPoint, Microsoft Office, Outlook, Concur, Ariba, Box.com

  • Authorized to work in the United States without sponsorship now or in the future

PREFERRED QUALIFICATIONS

  • Bachelor’s Degree Preferred

  • Knowledge of Mimeo a plus.
